DOkTM is a healthcare discovery, comparison, and information platform. This Privacy Policy explains the personal information we may collect, how we use it, and the choices you have. We are designed to help you compare healthcare without exposing sensitive medical records.

2. Information we may collect

To operate the Platform, we may collect:

  • Name — when you register or submit an enquiry.
  • Email — for account access and communication.
  • Phone number — where you provide it for enquiries or contact.
  • Account information — your role and linked provider details.
  • Location — city or area you select for search and comparison.
  • Enquiry information — the services, providers, and preferences you choose to share so providers can respond with quotations.
  • Provider / business information — details submitted by providers and advertisers for listings and campaigns.
  • Search and activity information — pages visited, searches, and interactions, to improve the Platform.
  • Device and browser information — such as browser type and IP address for security and analytics.
  • Analytics information — aggregated or anonymised usage data, where analytics is active.
  • Appointment information — preferred date/time and contact details you provide when requesting an appointment with a provider.
  • Sponsored campaign events — anonymised session identifiers used to count impressions and clicks on sponsored placements, so repeated events are not counted twice.
  • Fraud and abuse signals — technical indicators of suspicious or repeated submissions, used to protect patients and providers.
  • Subscription information — your subscription plan, status, and transaction references for business and advertising services.
  • Payment-related information — handled by payment processors (see below). DOkTM does not store your full payment card details, CVV, PIN, or OTP.
  • Legal consent records — when you complete a paid checkout, DOkTM records the policy versions you accepted, the timestamp of acceptance, and the associated subscription or campaign, for evidentiary and compliance purposes.
  • Refund/cancellation requests — details you provide when requesting a refund or cancellation, and the status of your request.
  • Partnership enquiry information — when you submit a partnership enquiry, we process your name, organisation, professional role, email, phone if provided, enquiry details, partnership category of interest, consent records, communication history, and administrative review information, for purposes including responding to the enquiry, evaluating collaboration, managing commercial relationships, compliance, and fraud/security prevention. We do not collect medical records, payment credentials, passwords, or OTPs through the partnership enquiry form.

3. Purposes of processing

We use the information we collect for purposes including:

  • Account management and authentication
  • Healthcare discovery, search, and comparison
  • Enquiries and quotations between you and providers
  • Subscriptions for business and advertising services
  • Advertising and sponsored content delivery and review
  • Security and fraud prevention
  • Analytics and platform improvement
  • Customer support and communication
  • Legal compliance and consent record-keeping
  • Evaluating and managing partnership enquiries and commercial relationships

4. Sharing with third parties / service providers

We share information with third parties only as necessary to operate the Platform, including:

  • With providers — when you submit an enquiry, your enquiry details are shared with the selected provider(s) so they can respond. Each provider handles that information per their own privacy and regulatory obligations.
  • With service providers — such as hosting, analytics (where active), and email delivery, under appropriate safeguards.
  • Where required by law — to comply with legal obligations or lawful requests.

We do not sell your personal data to third parties.

5. Payment processors

DOkTM uses third-party payment processors (such as Razorpay) to handle subscription and advertising payments. Payment card and transaction details are handled by the payment processor and are not stored by DOkTM. DOkTM receives only the subscription status and payment confirmation necessary to manage your subscription. DOkTM and the payment processor are separate entities; the payment processor's terms and privacy policy apply to your payment transactions.

6. Data security

Access to personal data is role-restricted. Provider and admin actions on records are governed by row-level security, and provider-submitted rates and services require admin review before becoming public. We apply appropriate technical and organisational measures to protect information, though no system can be guaranteed fully secure.

7. Data retention

We retain personal information only as long as necessary for the purposes set out in this policy, to comply with legal obligations, to resolve disputes, and to enforce our agreements. Account and enquiry information is retained while your account is active and thereafter as needed.

Listing claim requests, supporting verification documents, and related review and audit records are retained only as long as necessary to verify authority, resolve disputes, and comply with legal obligations. The specific retention period for claim and verification information is pending legal review and will be confirmed here once finalised. DOkTM does not automatically delete verification documents unless a documented retention policy applies.

Partnership enquiry information, associated consent records, and administrative review/audit records are retained only as reasonably necessary for the stated purposes and applicable legal obligations. The specific retention period is pending legal review and will be confirmed here once finalised.

8. Your rights

Subject to applicable law, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information, where applicable
  • Withdraw consent for processing based on consent, where applicable
  • Object to or restrict certain processing

9. What we do NOT collect

We do not ask you to upload medical records, prescriptions, diagnostic reports, diagnoses, or clinical history. We do not require proof of illness to compare or request a quotation.

10. Cookies

We use essential cookies to keep you signed in and may use other technologies as described in ourCookie & Tracking Policy.

11. Children

The Platform is not directed at children under 18, and we do not knowingly collect their data.

12. Privacy complaints and grievance

If you have a privacy concern or complaint, contact us via the Contact page (select “Privacy-related enquiries”). We will review and respond to privacy complaints in accordance with applicable law.

13. Changes to this policy

We may update this Privacy Policy from time to time; updates take effect when posted here.

DOkTM uses privacy-friendly first-party analytics with random, short-lived anonymous identifiers to measure reach and improve the platform.
