Refund, Cancellation & Subscription Policy

How subscriptions, advertising payments, cancellations and refunds work on DOkTM.

1. Overview

This policy explains how subscription activation, billing, renewal, cancellation, expiry and refunds work for paid services on DOkTM, including subscriptions, DOkTM Picks advertising, sponsored campaigns, featured/promoted listings, conference promotion, Surgical Inventory promotion, and future paid promotional services. Payment is processed by our payment processor (Razorpay). DOkTM does not store your full card details.

2. Scope

This policy applies to: (a) Monthly, Quarterly and Annual subscriptions; (b) Basic, Professional and Enterprise subscription tiers; (c) DOkTM Picks advertising; (d) sponsored campaigns; (e) featured or promoted listings; (f) conference promotion; (g) Surgical Inventory promotion; and (h) any future paid promotional service DOkTM introduces. Healthcare comparison, provider listings and quotations are free for patients and are not paid transactions under this policy.

3. Subscription activation

A subscription is activated when your payment is successfully processed and confirmed by the payment processor. The subscription start date and current billing period are recorded on your subscription record. Commercial entitlements (such as plan features) take effect on activation, but publication of any sponsored or featured content always requires separate admin approval — payment alone does not activate public display.

4. Billing cycles & renewal

Billing cycles depend on your chosen plan (Monthly, Quarterly or Annual). Subscriptions renew automatically at the end of each billing cycle until cancelled, via the payment processor's recurring billing. You will be charged the plan amount plus applicable taxes. You can cancel at any time (see below); cancellation stops future renewals.

5. Cancellation

You may cancel your subscription at any time through your DOkTM Business dashboard or by contacting support. Where the payment processor supports it, immediate cancellation stops future charges. Where immediate cancellation is not supported, cancellation takes effect at the end of the current billing cycle, and you retain access until then. Cancelling does not automatically trigger a refund for the current period (see Refunds below).

6. Failed recurring payments

If a recurring payment fails, the payment processor may retry. After repeated failures, the subscription may move to a past-due or expired state and access to paid features may be suspended. You will be notified where possible. No refund is due for a payment that never successfully completed.

7. Expiry

A subscription expires when it is cancelled and the current billing period ends, or when it is not renewed. DOkTM runs an automated daily expiry sweep that aligns internal subscription and campaign states with the payment processor's status. On expiry, paid entitlements and any public sponsored content are deactivated.

8. Refunds

Refunds are not automatically issued in all circumstances. DOkTM will consider refund requests for legitimate circumstances, which may include:

  • A duplicate payment for the same subscription or campaign.
  • A successful payment where the purchased service fails to activate due to a verified DOkTM error.
  • A verified DOkTM technical or payment error.
  • A charge made after a validly submitted cancellation that was effective before the billing date.
  • DOkTM materially fails to provide the purchased service.
  • Advertising payment received where the campaign is rejected before publication, subject to the applicable advertising terms.
  • Any circumstance where applicable law requires a refund.

For services that have already been delivered or used (for example, a subscription that remained active for a full billing period, or advertising that has been published and displayed), refunds may be limited or unavailable, except where required by law or where DOkTM determines otherwise at its discretion. Partial refunds may be considered where appropriate. Refunds, where approved, are processed through the original payment method where possible. DOkTM does not promise automatic pro-rata refunds unless the system explicitly supports them for a given scenario.

9. Advertising & sponsored campaigns

Payment for advertising, DOkTM Picks promotion, sponsored campaigns, featured listings, conference promotion or Surgical Inventory promotion does not guarantee approval, publication, impressions, clicks, enquiries, leads, bookings, sales, search ranking, or clinical outcomes. All advertising content requires admin approval before publication. Payment never bypasses the admin review process. Where an advertising payment is received but the campaign is rejected before publication, a refund may be considered subject to the applicable advertising terms. Where advertising has already been published and displayed, refunds may be limited. Campaign suspension due to policy violation or other reasons does not automatically entitle a refund.

10. Plan upgrades / downgrades

Plan change requests take effect through a new checkout at the start of the next billing cycle. Automatic proration is not currently supported — no prorated refund or credit for unused time on a previous plan is issued unless DOkTM determines otherwise at its discretion. Upgrading or downgrading does not reset any admin approval status for advertising content.

11. Taxes / GST

Applicable taxes (including GST where applicable in India) are charged on paid services as required by law. Taxes are shown or calculated at checkout where supported by the payment processor. Tax invoices, where applicable, are governed by the payment processor's invoicing and applicable tax law.

12. Chargebacks & payment disputes

If you believe a charge is incorrect, please contact DOkTM support first so we can investigate. Initiating a chargeback through your bank without first contacting DOkTM may delay resolution. Where a chargeback or payment dispute is raised, it may be handled through your payment processor, card network, and applicable banking/payment-network procedures. DOkTM may suspend the related subscription or campaign pending resolution, in accordance with the payment processor's policies and applicable law. Final chargeback handling wording is subject to legal review.

13. Fraud & abuse

DOkTM reserves the right to refuse service, withhold refunds, cancel subscriptions, and pursue available remedies where fraud, chargeback abuse, or misuse of the platform is identified.

14. Promotional credits

DOkTM may issue promotional credits that can be applied to eligible charges, according to the configuration and balances maintained in DOkTM's billing system. Credits may carry expiry dates, may be revoked by DOkTM, and have no cash value except where required by applicable law. Where a charge paid partly or fully with credits is refunded, the credit portion is generally restored to the credit balance rather than paid in cash, subject to applicable law and DOkTM's determination.

15. Policy changes

DOkTM may update this policy from time to time. Changes take effect when posted. Changes do not retroactively alter refunds or rights that applied at the time of an original transaction, to the extent required by law. The policy version and last-updated date are shown above.
